Record expenses and recurring bills

How-to

Expenses keeps what the business spends, each with its receipt, beside what its billing takes in. Turn it on, add an expense, and let the bills that come back every month record themselves.

  1. Turn it on

Setup › Management Levels: tick Expenses, and Leases if you rent premises, then save. Expenses appears in the menu.

  2. Add an expense

Expenses › Add expense: the payee, the category, the amount and date, and whether it is paid or still to pay by a due date. Attach the receipt as a PDF, a photo or a document.

  3. Make it recurring

For rent, internet, software and insurance, add a recurring bill instead: how often, from which day, and whether it is recorded as paid or as a bill to pay. For a bill whose amount changes, such as electricity, tick that it varies: it goes in as an estimate until you type the real figure.

  4. Read the reports

Expenses › Reports shows spending by month, by group and by payee for any stretch of days, beside what billing took in. Every table downloads as a spreadsheet for your accountant.

Staff pay as an expense

On the Brought in automatically page under Expenses, pay runs marked paid can come in as wages on the day they were paid. A change you make to one is kept, and one you delete stays deleted.
