Automation and reports

The work that happens overnight.

One scheduled task, run every five minutes, keeps billing, renewals, reminders, email and giving moving. Reports and a health check tell you how it all went.

What the scheduler takes care of

WBAMS decides which tasks are due each time it runs; you choose the hour of the daily run.

Billing Invoices and reminders Recurring invoices raised ahead of their due dates, reminders before and after, late fees where switched on.
Services Suspend and restore Overdue services suspended after the days you set, and restored when paid.
Currencies Exchange rates Rates updated so prices in each currency stay current.
Support Email import Replies collected from the mailbox and filed against their tickets.
Giving Monthly gifts The next occurrence of each monthly gift.
Members Dues and standing Membership dues raised and standing reviewed straight after.
Updates New releases A check every eight hours, with an email to those who may install.
Expenses Bills and lease reports Recurring bills recorded on their day, and lease reports prepared and sent, or held for you to check.
Leases Reminders before things run out Bills due, documents running out, reports waiting: one email a day, only when there is something to say.
Set it up once

Dashboard

A dashboard that keeps itself up to date

Website visits, tickets, activity, staff and the other widgets refresh on their own while the page is open, and so do the counts on the bell and in the menu. Each administrator shows, hides and orders their own.

  • Counts every minute, charts every few minutes
  • Pauses after an hour with nobody looking
  • Says so when it cannot reach the server
A health check that says what to fix
System health

A health check that says what to fix

Server requirements, permissions, the scheduler, templates and security settings checked in one place, with the fix for each warning.

  • Passing, review and action required
  • Export the results as text or JSON
  • Links to the steps that fix each item
Questions

About automation

Recurring invoices, reminders, monthly gifts, dues and update checks stop advancing until it runs again. Automation Settings and the health check show when it last ran.

Yes, with a secret key you set in settings.php; without the key the address answers "not found". Cron on the command line needs no key.

Yes. Reports export as CSV or PDF, and the exports catalog covers clients, invoices, services and transactions.

They count different things over different periods, such as settled transactions against issued invoices. When a figure is disputed, the payment provider's statement is the authority.
