How-to

A pay run works out what everybody on the payroll is owed for one period. Nothing is fixed until you approve it.

Before you start

  • Staff › Employer Policy filled in: working week, pay periods, overtime if you pay it.
  • A tax table in force for each country you pay in (Staff › Payroll Tax). No table means no tax, and the run says so.
  • Staff records with a pay rate and tax country.
  • Approved timesheets for anybody paid by the hour or day.
  1. Create the run

Staff › Pay Runs › New pay run: weekly, fortnightly or monthly, the pay date and the period, all suggested from your policy.

  2. Read what it worked out

Hours (from approved timesheets, or typed in), gross, overtime week by week, paid and unpaid leave, tax band by band, deductions and net.

  3. Fix what it reports

Missing pay rates, unapproved time, no tax country, no tax table, negative figures. Approve stays unavailable until they are resolved.

  4. Approve

Figures freeze, payslips can be printed and downloaded, and the timesheet entries it paid are locked.

  5. Mark paid

The run stays on the list so its payslips can be reprinted. References run PR-2026-0001 and never change.

A payslip keeps its own copy

Name, rate, hours, the tax table and every pay line are stored on the payslip, so reprinting one from two years ago shows the figures of two years ago.
