Credit, refunds and disputes

Reference

Credit sits on the client's account and pays new invoices. Refunds send money back. A dispute is the client's challenge at their payment provider.

Credit

A client's Credits tab shows what they hold and how it was used. Credit is applied to new invoices automatically unless the account says otherwise.

Refunds

Refund a payment from the invoice. Reconcile the gateway transaction in the same sitting, so the books and the provider agree.

Disputes and chargebacks

  1. Read the gateway log

Billing › Gateway Log holds what the provider actually sent about the dispute.

  2. Gather evidence

Proof of delivery, the service record, your correspondence and the invoice.

  3. Submit within the provider's window

It is short, and it is theirs, not yours.

  4. Record the outcome

Against the transaction, so the account history stays true. Billing › Disputes lists them all.

Do not refund a disputed payment

Refunding while a dispute is open can cost you the money twice. Resolve the dispute first.
